Volunteer Role: Secretary
Position Summary:
The Secretary plays a key administrative role in supporting the organization’s operations. This volunteer position ensures accurate record-keeping, effective communication, and smooth coordination of meetings and documentation.
Key Responsibilities:

Meeting Coordination:
- Schedule and organize board.
- Prepare and distribute agendas in advance.
- Record and distribute meeting minutes in a timely manner.

Communication:
- Serve as the primary point of contact for internal communications.
- Maintain and update contact lists for board members, coaches, and volunteers.
- Assist with drafting and distributing official correspondence.

Record Keeping:
- Maintain accurate records of meetings, decisions, and organizational documents.
- Ensure compliance with organizational policies and procedures.
- Archive historical records and ensure accessibility when needed.

Support Duties:
- Assist with registration and documentation for players and volunteers.
- Support other board members with administrative tasks as needed.
Qualifications:
- Strong organizational and communication skills.
- Attention to detail and ability to manage multiple tasks.
- Familiarity with email, word processing, and basic spreadsheet tools.
- Ability to maintain confidentiality and professionalism.
- Previous experience in administrative roles is an asset but not required.
Time Commitment:
- Approximately 2–4 hours per week, depending on the season and meeting schedule.
- Attendance at monthly board meetings and occasional special events.
